Ongoing policy training and professional development is supplied to staff, and regular performance reviews and informal appraisals are conducted. Your child's wellbeing is the number one priority.
What is the ratio of children to coaches?
Active Tribes enforces a maximum ratio of 15 children per coach. The ratio is much lower for the swim school and some tennis activities.
Is Active Tribes covered by insurance?
Yes, Active Tribes is owned and managed by UQ Sport which is insured for $20 million public liability and $5 million professional indemnity.
Are police checks conducted on Active Tribes staff?
State legislation and the Active Tribes' Child Protection Policy states that all staff working with children complete criminal history checks. All Active Tribes instructors have Blue Cards.
What policies and procedures does Active Tribes enforce?
Active Tribes has a number of policies and procedures in place to ensure your child can participate in a fun and safe environment that fosters growth and learning. These include sun safety, child protection, programming, staff codes and conduct, first aid and sick children, administration of medicine, grievances, emergencies, arrival and departure, hygiene practices, discipline and behaviour management, diversity, equity and special needs and workplace health and safety.
Please contact Active Tribes if you would like more information on any of these policies or procedures.
What is the Active Tribes refund / cancellation policy?
After enrollment, cancellations or course transfers will only be considered in extenuating circumstances. Individual situations will be considered by Active Tribes with the provision of necessary documentation. If a refund is to be issued, it will be the pro-rata balance less a 10% administration fee. Make up lessons will be considered on a case-by-case circumstance, provided there is availability and advanced notification.
Can I claim Child Care Benefits?
Child Care Benefit (CCB) is available for those attending the ActiveSports and ActivePlay holiday activities. If you wish to claim the Child Care Benefit you can do this through our online enrolment procedure as well as by phone or in person. Please register with the Family Assistance Office first.

How long do the programs run for?
All Active Tribes term activities run for the period of the school term, usually ten weeks. The Active Tribes holiday programs run across week-long blocks and offer you the option to enrol your child into either full-day (9am to 4pm), morning (9am to 12pm), or afternoon (1pm to 4pm) activities. Weekly and daily options are also available.
What does my child need to bring?
For all the term activities your child should bring a hat, water bottle and equipment suitable for the chosen activity. For all the holiday activities a hat, sunscreen, water bottle, change of clothes and a packed lunch (for full-day participants) is required. A sun-shirt is compulsory for swimming activities.
What should parents do regarding food and refreshments?
Healthy fresh fruit is provided for morning and afternoon tea during each of the holiday program activities. Those participants staying for the full day are required to bring a packed lunch and snacks with them and children should bring their own drink bottle. Water fountains are present at all activity facilities.

What happens in the event of wet weather?
Activities will continue to run in the event of rain. However alternative activities may be programmed for the comfort and safety of your child.
What parking is available?
For all activities held at the University of Queensland St Lucia campus, parking restrictions start on the university grounds at 7am. Short term parking is available next to the UQ Aquatic Centre and UQ Athletics Centre at a charge of $1.40 per hour. Please see Milton and Tennyson venue details for parking details.
Where do I go on arrival?
Please escort your child straight to the venue of their program. For the holiday program, parents and guardians must physically sign them into the activity. Drop off is a minimum of 15 minutes prior to the commencement of the day's activities. Anyone who arrives after 9am must first be signed in and then escorted by their parent or guardian to their activity. Before care is provided free of charge from 8am for parents requiring this service.
What happens if a parent is late?
All participants will be looked after by Active Tribes staff until the arrival of their parent or guardian. Late pick up charges will apply for every 15 minutes a child is left waiting after the completion of their activity.
